Instructions on how to host a hybrid screening

We often collaborate with groups and individuals interested in hosting hybrid – both in-person and virtual – screenings. In order to book a film to play both in person and online, you will need to book two separate screenings. Even if they are the same time and with the same host, you audience will be accessing the film differently, so two event pages are needed.

Things to Know First:

  • You will need to make two bookings, one for in person and one for online.

  • For online, you can choose either Live Virtual (the film will play at a scheduled time) or Event VOD (your audience has a window of time to watch the film)

  • You will only pay for one licensing fee for one event. This fee will cover both your events and your total audience size.

  • You will need to contact Kinema before booking the second event, in order to waive that fee.

Here is our simple set of instructions on how to host a simultaneous in-person and virtual screening.

  • First, estimate your total expected audience size for the two screenings combined. If this is a licensed screening (free for guests), this number will be used to determine the appropriate licensing fee for the combined screenings.

  • Next, complete the virtual event booking and set the audience capacity to the estimated total you came up with in the first step. This is the maximum number of in-person + virtual guests you anticipate in attendance.

  • If your event is licensed, vs ticketed, then proceed with the required payment.

  • You've completed booking the first event, and we have received the request.

  • Return to the film page once your booking is complete.

  • Before proceeding with the booking process for the in-person component of your hybrid screening, please email us at hello@kinema.com explaining your Hybrid event.

  • We will send you a promo code to use upon booking your second and in person screening.

  • From there, complete the in-person booking and match the audience capacity you previously set for the virtual screening. You will have the option to apply a promotional code at the payment stage.

  • Once both events have been approved, it is recommended to link to each other in the details of the event so that guests can clearly see both options.

  • Please review if you would like your events to be public (listed on Kinema's event page for anyone to join) or private (available to book with the event page link) or a combination of the two - i.e. public in-persons screening and a private virtual event component.

  • Audiences with tickets to the Virtual event, will receive an email with instructions for how to watch the film online.

    • If Live Virtual, the film will play automatically.

    • If Event VOD, they can watch the film on their own time, within your provide window.

  • Audiences in person will watch in your venue. You will get access to the film file via our Offline Cinema Player.

    • You will "hit play" on the film within your venue for your audience.

  • Note: We recommend setting the same start time for your two events.
